Privacy & Student Data
ProgressReel is built around school-controlled, student-safe workflows. Here is how we handle data.
Our Approach
ProgressReel is a managed video production service. We process student media only at the direction of, and under agreement with, the contracting school or program. We do not operate a consumer-facing platform, do not collect data from families directly, and do not use student media for any purpose outside the contracted scope.
What We Collect
We receive only what the school provides: photos, video clips, observation notes, student first names (or identifiers as directed by the school), and school branding assets. We do not request or require Social Security numbers, grades, health records, disciplinary records, or other sensitive PII beyond what is needed to produce the contracted videos.
How Data Is Used
Student media and information are used solely to produce the contracted video deliverables. We do not use student data for marketing, advertising, model training, profiling, or any secondary purpose. Period.
Data Ownership
All finished videos and the underlying student media remain the property of the contracting school. ProgressReel does not claim ownership of any student content.
Storage & Retention
Raw assets and finished videos are stored in encrypted, access-controlled environments during the production and delivery period. After delivery, data is retained for a limited revision window (default: 30 days) and then securely deleted unless the school requests otherwise. Schools may request immediate deletion at any time.
FERPA Awareness
Student videos can be treated as education records under FERPA when they are directly related to a student and maintained by the school or a party acting for the school. ProgressReel is designed to operate as a "school official" under a school's direct control, consistent with FERPA's school official exception. We are prepared to enter into agreements that define the scope of service, data handling obligations, and restrictions on re-disclosure. We recommend that schools consult their own legal counsel or district privacy office to confirm compliance with applicable federal, state, and local requirements.
Security Measures
- Encrypted file transfer and storage
- Role-based access (only assigned production staff access a given school's media)
- Secure review links with expiration
- Audit logs for access and delivery
- No public-facing hosting of student content
